Managing Roles and Permissions

  1. Log in to IQnext with the Administrator privileges

  2. Go to Settings > General Settings > Organization Settings > Roles & Permission.


Why Roles and Permissions

Roles and permissions are ways to control who can do what in an organization. 
Roles are IQnext specified labels which categorise different user types.
Permissions are specific rights or access levels granted to roles. A set of permissions are enabled for users with different roles to control specific areas of organizations, features and modules.
IQnext provides four predefined roles which are Super Admin (highest), Manager, Supervisor and Technician.


Setting Permissions

  • Click on the role you want to change the access/permission.

  • A new screen will appear with all IQnext modules listed

  • Permissions of all the features are displayed on the page, which includes view, add, edit, delete. The permissions listed next to each feature are the ones you have access to.

  • On the left panel, all the modules of the organization are displayed with dropdowns for their sub-features. On clicking in any of the features, details get displayed on the page.

  • Change the required permissions for any role


Notes
Note: Super Admin has complete access to all modules of IQnext, no user can change the permissions of Super Admin

Create and Manage Custom Roles in IQnext

To provide greater flexibility in managing access across teams, IQnext now supports Custom Roles. This allows platform admins to create user-specific roles tailored to unique access needs—beyond the default roles like Manager, Supervisor, or Technician.

Use Cases

  1. Security/Operations Access: Create a role that gives personnel access only to the Alarms module, ideal for night shifts or holiday coverage.

  2. API-Only User: Provide users restricted access only to the API section, useful for periodic API key retrieval without full platform exposure.

  3. Finance/Accounts Team: Grant access only to Asset & Maintenance modules, helping finance teams manage relevant data securely


Creating a Custom Role

  1. Go to Settings > General Settings > Organization Settings > Roles & Permission

  2. Click on +Add button

  1. A Create Role modal appears - Give the role name, description and permissions

  2. Click on Create button

  3. In the next screen make the required edits to the custom role

NotesCopy Permissions From Existing Roles: Available: Manager, Supervisor, Technician only. Superadmin cannot be used as a template.


Managing Roles

  • The edit page allows changing permissions for the custom roles


Deleting a Custom Role

  • A role cannot be deleted if any user is assigned to it.

  • Reassign or remove users from the role first to delete it.
