IQnext Reports Management Overview

The Reports section provides deep insights into Lighting, Space, Asset, Maintenance, and Energy operations.
Users can view, bookmark, mark as favourite, share, download, and even schedule reports — enabling smarter decision-making and collaboration.

First-Time Access: Exploring the Reports Section

Upon logging into the platform and navigating to the Reports tab on the left-side panel, new users find a categorized library of pre-built reports under different operational modules:

  • Lighting Reports

  • Space Reports

  • Device Reports

  • Asset Reports

  • Maintenance Reports

  • Energy Reports


In the table - you can find the list of reports under each modules:
  1. Search bar is given to directly search for the report name in the list

  2. Details of the columns are mentioned below: 

  1. Report name: A specific name given for each report

  2. Description: A brief summary of the report . 

  3. Last opened: Keeps a track of last time & date, that report was opened by the user. 

         3. Filter by option can be used to filter report names based on bookmark, favourite, recently added.

NotesNote: Initially, users have access to all standard reports but have not yet customized their experience.


Viewing and Filtering Reports by names

Users can:

  • Browse report categories in the left panel of the screen, based on the modules and then additional options like Bookmarked, Favourites & Recently added.

  • Select any report to open and view.


Bookmarking Reports for Quick Access

To bookmark a report:

  1. Open a report.

  2. Make the relevant filter selections to view the report.

  3. Click the Bookmark icon.

  4. The report appears in the Bookmarked Reports section.

To remove a bookmark, click on the three dots and click on remove option.



IdeaTip: Bookmarked reports streamline recurring access.

Alert
Time filters may not be saved when bookmarking reports, user may have to still select the time filters when they want to view bookmarked reports



Marking Reports as Favourite

To favourite a report:

  1. Find the report.

  2. Click the Star (Favourite) icon next to its name.

  3. Favourite reports appear in the IQnext Overview section and Favourites filter for quick visibility.

To remove from favourites, click the Star icon again.

Tip: Use favourites for top-priority reports.


Sharing Reports with Other Members

To share a report:

  1. Open the report.

  2. Click the Email icon button.

  3. Enter the email addresses or usernames.

  4. Click Send.

Post Sharing:

  • Recipients receive an email notification.

  • They can view and optionally bookmark or favourite the report.

NotesNote: Shared reports respect user permissions. If the receiver does not have access to certain resource it will not be shown to them


Downloading Reports

To download reports:

  1. Open a report.

  2. Click the Download button.

  3. Choose:

    • Image (PNG/JPEG)

    • PDF

    • Excel (XLSX)



IdeaUse PDF for presentations, Excel for analysis, and Image for quick sharing.


Scheduling Reports

Save time with scheduled report deliveries:

  • Users can set up automated scheduling to receive reports periodically (daily, weekly, monthly).

  • Scheduled reports can be sent to users via email as downloadable attachments (PDF or Excel).

  • To schedule:

    1. Open the report.

    2. Click on the Email button and choose the schedule report option .

    3. Choose frequency, recipients, format, and time of dispatch.

    4. Save the schedule.

IdeaTip: Use scheduling for monthly energy consumption summaries, weekly maintenance issue reports, or quarterly occupancy trends.
